Executive Administrator

Job Description

As an Executive Administrator, you will play a crucial role in providing comprehensive support to the CEO and Senior Management Team (SMT).

Within your role, you will play a key role in ensuring the smooth operation of the CEO’s commitments along with wider Senior Management coordination. This position requires exceptional organisational skills, discretion, and flexibility, along with an understanding of European and Australasian business and cultural practices.

Your role will also have responsibility in managing a wide range of administrative and executive duties to support the smooth operation of the Chiptech business. You will act as the primary point of contact between Chiptech International Ltd and external stakeholders whilst maintaining confidentiality and professionalism at all levels.

Responsibilities of the role

As an Executive Administrator, you will:

  • Provide high-level support to the CEO and Senior Management Team
  • Manage complex calendars by scheduling meetings, prioritising tasks, and organising appointments.
  • Coordinate international travel arrangements, including flights, accommodation, visas, and detailed itineraries.
  • Provide full meeting support, including agenda preparation, minute-taking, and follow-ups on action items.
  • Assist with varied tasks and assist with the CEO’s priorities seamlessly.
  • Support the organisation of events, including professional engagements and networking activities.
  • Prepare presentations for SMT monthly meetings
  • Meet and greet customers and partners at office facilities
  • Handle confidential information with discretion and professionalism
  • Assist with SMT projects/events as required
  • Support the Office Manager in office administrative duties

Required Experience

  • Have proven experience as a Personal Assistant or Executive Assistant supporting C-level executives, with at least 8–10 years in similar roles.
  • Be an expert in coordinating international travel and navigating European business practices.
  • Demonstrate outstanding organisational and time-management skills with the ability to multitask effectively.
  • Possess excellent verbal and written communication skills in English (proficiency in additional European languages is advantageous, with a preference for Spanish, Norwegian, Swedish and Dutch).
  • Proficient in Microsoft Office Suite and other productivity tools
  • Exhibit high levels of discretion, integrity, and professional conduct.
  • Be adaptable and flexible to accommodate a dynamic and demanding schedule.
  • Have exceptional interpersonal skills to foster relationships at all levels of the organisation.
  • Excellent time management skills.
  • Self-motivated and able to work using own initiative.
  • A team player, both confident and professional.
  • Practical and adaptable.

Job Title: Executive Administrator| Location: Palatine Hall, Dalton Square, Lancaster, LA1 1PW | Reporting to: Office Manager/CEO | Salary: £35k-£40k (Dependent On Experience)
